Are you still requiring credit card users to tape receipts to a sheet of paper for submission to bookkeeping?ĩ. Individuals who use a credit card need to submit receipts for purchases. (We have a client with a “phantom” Amex card that, despite hours on the phone with the Amex service desk, they have not been able to close out since the person who created the account left.)Ĩ. Credit cards can be difficult to administer or close if the person who opened the card leaves the organization. Opening a credit card account often require someone’s social security number and puts that person on the hook personally to pay the card liability.ħ. If you accidentally underpay the total card balance one month, all your charges now are subject to interest expense at crazy high rates.Ħ. Whenever you get a replacement card you must set up a new card number on all the online vendor accounts that rely on it.ĥ. More than once we’ve seen organization cash stolen via credit card. Credit cards expose the organization to fraud from within the organization.

Fraudsters can rack up charges depending on the card’s credit limit and how fast the card issuer or organization catches the unusual spending pattern and shuts off the card.ģ. What happens if someone else needs the card while it’s out? What if the card gets lost? How do you enforce accountability?Ģ. They have people “check out” the card when they need to buy something. To manage physical credit cards, some organizations use the “library” approach. Is it possible to make credit card administration any easier? First consider all these credit card management problems. Yet they are often essential for staff to carry out the organization’s business. Pretty much a useless app when I have to use my desktop to get anything done.Credit cards always seem to be a sore spot for nonprofits. I’m not sure what happened but with every update, the app seems to get worse and worse. Just make it set to have the pin entered every time you open the app?! Other apps have figured that out so I know that exists. If I’m already IN the app, why are you making me reenter the pin?! Just another waste of my time, not really “secure”, just an annoyance. It’s been closed out for months!Īlso, constant crashing and having to reenter the PIN number after I’ve been in the app using it consistently for 5 minutes or so is annoying. I’ve even tried deleting and reinstalling the app and it still won’t go away. Some glitch caused one charge from 5 months ago to permanently say “pending” on my alerts page with no way to get rid of it. When I check the budget auto-renew, it’s gone from the app but on the desktop it says that I have auto-renew set to $500 at the start of every month. The budgets haven’t auto-renewed for my controlled accounts for 3 months now and I’ve had to painstakingly go in and re-fill their cards one by one with the lagging.

If you made it that far, you can finally put in your credit card number (that you can't see in the app for some reason) and pray that you did everything right so you can pay for lunch. Then restart the app so the new budget is updated and assign the new amount to yourself (good luck if budget is recurring). You have to go into the budget, determine how much is available because the calculations in the app are usually inaccurate or don't make any sense, remove allocated funds from someone else (if they have enough) or increase the size of the budget. You can't share a budget with multiple people each person must have a specific amount of the assigned funds given to them.īecause of this, if you want to buy something, you have to have enough funds assigned to you in one budget. Budgets have people and people have funds within each budget. The value proposition of Divvy is nice on paper, but the way things are setup makes actually paying for stuff 10x harder than it needs to be.
